Importing Data

Supported file formats and best practices for data import

Importing Data

SheetsToLabels is designed to be flexible with your data sources. We support the most common spreadsheet formats.

Supported Formats

Microsoft Excel (.xlsx, .xls)

The industry standard. We support multiple sheets - you will be asked to select which sheet to use after upload.

CSV (Comma Separated Values)

A universal text format. Ensure your CSV is UTF-8 encoded if it contains special characters (like accents or emojis).

Google Sheets

Connect your Google account to access your sheets directly.

  • Benefits: Live connection means if you update your Google Sheet, you can just click "Refresh" in SheetsToLabels to get the latest data without re-uploading.

Data Best Practices

1. Header Row

Make sure the first row of your file contains meaningful headers.

  • Good: First Name, Last Name, Street Address, Zip Code
  • Bad: Column A, Data 1, Untitled

These headers become the variable names you use in your design (e.g., {{First Name}}).

2. Clean Data

  • Remove empty rows before upload to avoid generating blank labels.
  • Ensure consistent formatting (e.g., all phone numbers in the same format) for the best visual result.

3. Images in Data

If you want to customize images per label (e.g., a different photo for each ID badge), put the Image URL in a column.

  • Column Content: https://example.com/photos/employee1.jpg
  • In Designer: Add an Image element and bind its source to this column.

Privacy & Security

Your data is processed securely. We do not store your spreadsheet data permanently unless you explicitly save a project to your account. You have full ownership of your data.
