Design Address Labels
Address labels are one of the most common uses for SheetsToLabels. This guide will show you how to create professional address labels for mailings, invitations, or packages.
What You'll Need
- A spreadsheet with address data
- Standard label sheets (we'll use Avery 5160 - 30 labels per sheet)
- A printer
Step 1: Prepare Your Address Data
Your spreadsheet should have these columns:

Tips:
- Include all address components in separate columns for better formatting control
- Clean your data - remove extra spaces and empty rows
- For international addresses, add a Country column
Step 2: Choose the Right Template
- Open the Label Designer
- Click Settings (gear icon)
- Select Avery 5160 from the presets
- This creates 30 labels per sheet (1" x 2-5/8")
- Compatible with most standard address label sheets
Alternative Sizes:
- Avery 5161: 20 labels per sheet (1" x 4")
- Avery 5163: 10 labels per sheet (2" x 4")
- Custom: Enter your own dimensions
Step 3: Design Your Label
Basic Layout
- Add a text element for the full address
- Type the following (each on a new line):
{{Name}} {{Street Address}} {{City}}, {{State}} {{ZIP}}
Formatting
- Font: Use a clean, readable font like Arial or Helvetica
- Size: 10-12pt for easy reading
- Alignment: Left-aligned is standard for addresses
- Line Spacing: 1.2-1.5 for better readability
Return Address (Optional)
- Add a small text box in the top-left corner
- Enter your return address as static text:
Your Name Your Street Your City, State ZIP - Use a smaller font size (8-9pt)
Step 4: Preview and Adjust
- Click Preview to see your labels with real data
- Check for:
- Long addresses that might overflow
- Proper spacing between lines
- Alignment with label boundaries
- Adjust font size or box dimensions if needed
Step 5: Print
- Click Download PDF
- Load your label sheets into the printer
- Print with these settings:
- Scale: 100% (Actual Size)
- Fit to Page: Unchecked
- Paper Size: Letter
[!TIP] Always do a test print on regular paper first! Hold it up to a label sheet against a window to check alignment.
Advanced Tips
For Wedding Invitations
- Use an elegant script font like "Great Vibes" or "Parisienne"
- Increase font size to 14pt for a formal look
- Center-align the text
For Packages
- Use larger labels (4" x 6")
- Add a barcode for tracking
- Include "FRAGILE" or "HANDLE WITH CARE" text
For International Mail
- Add a Country field
- Use all caps for the country name
- Increase spacing between address lines
Common Issues
Labels are misaligned when printed
- Ensure printer scale is set to 100%
- Check that you selected the correct label template

Text is cut off
- Reduce font size
- Enable "Shrink to fit" in text properties
- Use a smaller label template
Some addresses are too long
- Use abbreviations (Street โ St, Avenue โ Ave)
- Split into two lines if needed
