This resource is written for school offices, PTAs, libraries, nonprofit teams, and other organizations that need a repeatable way to print Avery 5160-compatible address labels from a spreadsheet.
It is intentionally short and checklist-based. Use it as a staff handout, printing-room reference, or link from an internal operations page.
| Item | Avery 5160-compatible setting |
|---|---|
| Paper | US Letter, 8.5 x 11 in |
| Label size | 1 x 2-5/8 in |
| Sheet layout | 3 columns x 10 rows |
| Labels per sheet | 30 |
| Common use | Mailing addresses, family envelopes, office mailings, donor letters, library notices |
| Print scale | 100% / Actual Size |
Avery 5160 is a US Letter address-label layout. Do not scale it onto A4 sheets or other label stock. If the package number is different, verify the sheet size, label dimensions, rows, columns, margins, and gaps before printing.
Before printing on label stock:
100%, Actual Size, or an equivalent no-scaling option.Fit to Page, Shrink to Fit, and browser auto-scaling.Use one row per recipient or household. Keep column names plain and predictable so staff can map fields without guessing.
Recommended columns:
| Column | Example |
|---|---|
full_name | Jordan Lee |
organization_or_class | Grade 4 |
address_line_1 | 120 Market Street |
address_line_2 | Apt 3B |
city | Boston |
state | MA |
zip | 02110 |
Before export, remove empty rows, confirm ZIP codes that begin with zero are preserved as text, and scan for unusually long names or address lines.
Treat mailing lists as sensitive records when they include student names, family addresses, donor records, or health-related program information.
Recommended workflow:
| Problem | Likely cause | What to check |
|---|---|---|
| Text gets lower or higher down the sheet | Print scaling or wrong paper size | Use 100% / Actual Size and US Letter |
| Every label is shifted the same direction | Printer feed offset or margin setting | Test on plain paper, then adjust offsets only if needed |
| First rows look right but lower rows drift | Fit to Page, A4/Letter mismatch, or printer scaling | Disable scaling and confirm paper size |
| Text is clipped near the edge | Content is too close to label edge | Add inner padding or reduce font size |
| The sheet feeds crooked | Printer tray or label-stock feed issue | Fan sheets, align tray guides, and print a small batch |
